We process as little personal data as possible and use it only to follow up conversations, projects and customer relationships correctly.
Which data we process
When you schedule a meeting, contact us or become a customer, we may process basic data such as name, email address, phone number, company name, role, appointment details, questions, documents and project context.
Why we use this data
We use data to schedule meetings, answer questions, prepare proposals, carry out projects, support the client portal and meet legal obligations.
Guides and downloads
When you request a guide, we use your first name, business email, company name and optional role to provide the download, send a transactional email and follow up the request internally. For this purpose, the data may be sent to our email provider and, when connected, our CRM or a secured automation flow. Requesting a guide does not automatically subscribe you to a newsletter.
Calendly and client portal
Meetings are scheduled through Calendly. When you use that link, Calendly also processes data under its own terms. For customers, Cognima may also use a secured client portal for files, decisions, questions, roadmap and follow-up.
Remote support
We use HelpWire for remote support. A Cognima team member can view or control your screen only after you have requested support and explicitly allowed the session. HelpWire processes technical session and connection data under its own terms. Unattended access is agreed separately and explicitly.
Analytics and measurement points
The website contains technical measurement points for clicks and scroll events, but sends nothing as long as no analytics provider is connected. If Cognima activates analytics later, this privacy policy and the cookie policy will be updated and consent will be requested where legally required.
Sharing and retention
We do not sell personal data. We share data only with service providers needed for planning, hosting, communication, security or execution. Data is not kept longer than needed for the purpose for which it was collected, unless a legal retention obligation applies.
Your rights
You can request access, correction, deletion, restriction or transfer of your personal data. You can also object to certain processing. Email us at info@cognima.eu.
