Connecting AI to your business information

Start with one task that costs time today. Then decide which information and permissions your AI workspace actually needs.

Updated on

Choose a familiar task

Find an answer in manuals, prepare a customer meeting or draft a document. Agree what a good result looks like and who reviews it.

Choose the workspace and check the terms

Consider Claude, ChatGPT or Copilot alongside your existing software. Connections and management features depend on the product, subscription and settings. Involve your IT owner for sensitive information.

Connect only what is needed

Start with a limited folder, an approved document collection or a defined data source. Use the right people's permissions and verify what the connection can actually read.

Separate reading from acting

Retrieving information differs from sending email or updating an ERP record. Define which actions stay as proposals, who approves them and how to recover an unwanted change.

Test with your own examples

Include ordinary questions, incomplete documents and exceptions. Ask for the sources behind answers. Check that people cannot access information beyond their permissions.

Learn to continue independently

Practise with daily tasks and record what works. Review outcomes regularly and expand once the first application is reliable and useful.

Your preparation checklist

  • One task and intended result selected
  • Licences and processing terms reviewed
  • Data access limited
  • Approval for important actions arranged
  • Tested with real work and exceptions

Agree the implementation with your IT owner and, for accounting, your accountant.
